Moving email to a new host: planning and troubleshooting

Are you planning to change hosting or your e-mail has stopped working? Separate mailboxes, old messages, sending and form. Check what to arrange before moving.

The first step

If email is no longer working, determine whether the problem is with receiving, sending, logging in, or just the form. If you are just planning a move, start with the list below: what should stay, what we are moving and who will confirm it.

The same domain can route a page to one provider and messages to another. Switching a website does not mean copying mailboxes, old messages and email program settings.

Don't start by typing in random records you find in the guide. The settings must correspond to the operator where e-mail is actually supposed to work. The Google Workspace instructions are specific to this service, not every company mailbox.

Services can also run with a single provider. Before changing them, you need to confirm their actual layout.

Similar symptom. Various reasons.

Can I log in via the e-mail operator's website?
If so, compare how email works in your browser and in your program. A program or password problem is not the same as a message not being delivered to the domain.
Is receiving or sending not working?
MX records are responsible for routing incoming email. Sending and sender confirmation require separate verification. One correct attempt does not confirm both directions.
Do regular emails work but the form is silent?
Then you need to check the message path from the website. You shouldn't automatically move mailboxes or change your MX just because your form isn't sending.

Without changing files and settings

What you can check yourself

  1. Write down the name of your old and new provider and the switching time if you know it.
  2. Check access to e-mail through the official website of your operator.
  3. Send one marked attempt between your own boxes and record which direction failed.
  4. Be accurate in your feedback, leaving out other people's private content and details.

Are you just planning to change hosting?

  • Determine whether the mailboxes remain with the current operator or are to be transferred.
  • Separately name transferring old messages, creating accounts and setting up email programs.
  • Record who checks the domain settings, who performs the switch, and who confirms the attempt in both directions.
  • Do not shut down the old service until you have confirmed the needed data and dependencies.

What solutions make sense

First, it is determined where the mailboxes are to be located and who manages the domain settings. The condition is then compared with the relevant operator's instructions. The operation of the form and email programs is checked separately. When changing DNS, email server addresses and records used to confirm senders are also checked.

If the old service has been disabled, you need information about the availability of messages and copies. Launching a new mailbox at the same address does not automatically restore its old contents.

After the work is done

This is how you will know that the topic is proven

  • Verified send and receive directions work.
  • If the form was included in the work, the agreed message reaches the indicated mailbox.
  • It is known where the boxes are stored and who renews them.
  • The status of old messages was separately confirmed, if their transfer was requested.

Prepare a description for reporting

Complete what you know. “I don't know” is also an answer. You can copy the text or save it as a file.

This field does not send anything. Don't enter passwords, recovery codes or customer details. After refreshing, your changes may disappear.

Would you like to pass the matter on?

To start with, all you need is an address, a symptom and the moment you noticed it. We will arrange the rest if necessary.

Technical basis

The guide helps you sort out the symptom. It is not a diagnosis of your installation. The details depend on the tool used and its version.
